Job Summary:
The Project Manager will play a crucial role in supporting the day-to-day operations of the organization, focusing on member onboarding, coordinating working group (WG) meetings, tracking membership engagement, and managing office hours. Additionally, this role will provide strategic and administrative support to the Executive Director to help drive key initiatives forward. The ideal candidate will possess strong organizational, communication, and project management skills, with a preference for experience in blockchain, associations, infrastructure, or open-source software.
Key Responsibilities:
- Working Group (WG) Coordination:
- Organize and document meeting minutes for relevant working groups, ensuring accurate and timely follow-up on action items.
- Coordinate scheduling for working group meetings and ensure all necessary materials are distributed in advance.
- Maintain an updated calendar and facilitate communications across working groups to ensure smooth operations.
- Office Hours Management:
- Manage and schedule regular office hours for members, ensuring that key staff and resources are available to support member inquiries.
- Track and maintain a calendar of office hours, ensuring clear communication to the membership.
- Facilitate engagement during office hours by addressing inquiries and coordinating with internal teams.
- Member Onboarding & Engagement:
- Lead the onboarding process for new members, providing them with necessary resources, introductions, and support to fully engage in the organization’s initiatives.
- Act as the primary point of contact for new members, answering any onboarding-related questions and addressing concerns.
- Monitor and track member engagement and satisfaction, reporting regularly to leadership.
- Membership Tracking & Renewals:
- Maintain the membership database and ensure the accurate tracking of participation, engagement, and renewals.
- Proactively communicate with members regarding renewals and ensure a streamlined process for maintaining active memberships.
- Produce regular reports on membership metrics, engagement, and overall satisfaction for internal review.
- Executive Director Support:
- Provide direct support to the Executive Director in executing key strategic initiatives, preparing reports, and managing high-level projects.
- Assist with coordination and communication with key industry stakeholders, sponsors, and corporate members.
- Help prepare materials for Board of Directors meetings, including strategic updates, performance reports, and budget summaries.
- Act as a liaison between the Executive Director and internal teams, ensuring smooth execution of operational and strategic tasks.
- Communication & Reporting:
- Ensure clear and timely communication across the organization, including updates on working group activities, office hours, and member interactions.
- Prepare and deliver regular reports to leadership on operational performance, membership engagement, and the progress of strategic initiatives.
- Assist in the preparation of presentations, reports, and other materials for both internal and external audiences.
Preferred Qualifications:
- Experience in Blockchain, Associations, Infrastructure, or Open-Source Software: Familiarity with these sectors will be advantageous in understanding the organization’s mission and operational goals.
- Bachelor’s degree in business, administration, project management, or a related field.
- 2+ years of experience in project management, membership coordination, or operations.
- Strong organizational skills with an ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills, with the ability to interact with senior stakeholders.
- Experience with membership databases and CRM systems (preferred).
- Ability to work independently and collaboratively with leadership to drive organizational success.
