We are seeking a diligent and detail-oriented AP/AR Specialist to join our Finance team to work either in our CA or NC office. This individual would be responsible for assisting with various AP and AR functions and will have a strong attention to detail, excellent analytical skills, and the ability to work effectively both independently and as part of a team.
Regardless of role or team, we look for candidates with positive energy as well as the ability to independently orient themselves in an unstructured environment and follow through on problems that need to be solved.
Role responsibilities:
Accounts Payable
- Receive, review, and process invoices from vendors
- Verify the accuracy of invoices, including pricing, quantities, and terms
- Ensure all items are coded correctly in system
- Monitor vendor emails and calls regarding billing and resolve discrepancies
- Maintain positive and professional relationships with vendors
- Issue payments via approved methods
- Reconcile vendor statements with accounts payable records to identify discrepancies
- Other duties as assigned
Accounts Receivables
- Accurately prepare and generate customer sales orders confirmation based on customer purchase orders
- Accurately prepare and generate customer invoices based on delivery, contracts, or sales orders
- Deliver invoices to customers via mail, email, or customer website
- Maintain customer web site information files and register on additional sites as needed
- Maintain positive and professional relationships with customers
- Reviewing the aging report, sending out monthly/weekly statements, and making collection calls as needed
- Enter check, credit card, and ACH payments
- Monitor customer emails and call regarding invoicing and resolve discrepancies
- Other duties as assigned
Key qualifications:
- Bachelor’s degree in Accounting or 2+ years of experience
- Intermediate or Advanced Excel Skills (experience with pivot tables and advanced formulas a plus)
- Excellent written and verbal communication skills
- Ability to prioritize workload
Preferred qualifications:
- Experience with general ledgers, accounts payable and accounts receivable
- Experience with Sage Intacct and Airbase a plus
Salary/Pay Range:
For individuals hired to work in California, Science is required under California law to include a reasonable estimate of the compensation range for this role. We determine your level based on your interview performance and make an offer based on the indicated salary band. The base salary range for this full-time position is $60,000 - $83,000 annually + equity + benefits. Within the range, individual pay is determined by several factors, including job-related skills, experience, and relevant education or training. Please keep in mind that the equity portion of the offer is not included in these numbers.
